Assistant Manager/Manager, Production Management (Singapore Biennale – 1.5 Year Contract)

Full-time Position

 

ROLE AND RESPONSIBILITIES FOR ASSISTANT MANAGER:

For the Singapore Biennale or any other ad-hoc project assigned: 


  • Assist in negotiations and contracting of venue partners, as well as affiliated programming partners
  • Lead sourcing, contracting process and management of some exhibition or programming venues
  • Administer artist agreements
  • Independently undertake communications and management of artists, exhibition partners or vendors; ensure clear communications and expectations aligned between artists, museum staff, guest curators and/or exhibition vendors
  • Collate artist and artwork information for reports and media announcements
  • Manage travel & hospitality arrangements of artists and guest curators, as well as other such logistical matters
  • Manage day-to-day paperwork, correspondences as well as keep physical files and shared databases updated
  • Provide hands-on or ground-level support where necessary e.g. help with condition checking, preparation of artwork components and artwork production, facilitating site recce of artist/curators and overall coordination of artwork installation and deinstallation
  • Undertake project budget management, including tracking of budget utilization, commitments, and projected cost outcomes

 

ADDITIONAL ROLE AND RESPONSIBILITIES FOR MANAGERIAL LEVEL:

 

    • Work with the Collections Department and National Heritage Board Heritage Conservation Centre in relation to National Collection artwork presentations and loans
    • Lead the preparation of Progress Reports and Debrief/Final Evaluation Report and collate inputs across departments
    • Undertake advanced planning, scheduling of fabrication and logistic support for some exhibition venues
    • Work closely with vendors to ensure safe production fabrications and installations at exhibition or programming venues, e.g. to ensure vendors submit relevant permit to work, risk assessment forms & PE endorsement before start of work and/or no sharp finishing in showcases. On-site supervision during exhibition fabrication and deinstallation; ensure safety handling and installation of artworks
    • Prepare artwork related documents, e.g. daily artwork checklist
    • Responsible for day to day maintenance of exhibition displays; e.g. to act on when AV equipment malfunctions

 



    JOB REQUIREMENTS:

    • Candidate should have a relevant Bachelor’s degree and minimum 3 years’ experience (minimum 5 years for Manager positions) in project management in an arts organization
    • Excellent team player, attention to detail and ability to handle paperwork efficiently
    • Strong creative thinking, analytical, communication and interpersonal skills
    • Demonstrated interest or knowledge of contemporary art scene, or experience in working with visual artists
    • Ability to multi-task and work under time pressure
    • Proficiency in spoken and written English is a requirement, other spoken Southeast Asian or Asian languages would be advantageous
    • Knowledge in exhibition setup, art handling, conservations needs, and logistic services will be advantageous
    • Work occasionally on weekends and public holiday
    • For Manager position, excellent skills in budgeting, preparation and delivery of presentations, as well as good understanding of commercial agreements and other legal documents is a requirement
